“DocLogix”: Digitize Your Business with User-Friendly Products

Business digitization is synonymous with business efficiency, and there are several easily implementable digital tools currently available in the market. To highlight these tools and emphasize their benefits in business operations, the document and process management company “DocLogix” organized an event titled “Document Management Made Easy With DocLogix” in Riga. The event was attended by the company’s partners in Latvia, including the Latvian State Radio and Television Centre (LVRTC), which introduced their newly developed eSeal solution, and SIA “Tilde,” which provided a broader overview of AI language technologies. Additionally, a representative from the Latvian National Archives, Gatis Karlsons, shared insights on digital data storage and accessibility using the “DocLogix” data archiving system.

The event was opened by “DocLogix” CEO Žilvins Kazlauskas, emphasizing that digital transformation has become a significant factor in business growth and sustainability, making it essential for every entrepreneur to address the question of how to make their business more efficient and streamline daily tasks. Representatives from “DocLogix,” including Adele Budre, Toms Aleksejevas, Ignas Lamanauskas, and Ernestas Rusevicius, introduced the company’s services and solutions.

Every business needs to organize its document flow on a daily basis, including contracts, submissions, invoices, and the like. This is a time-consuming task that can be easily optimized with the “DocLogix” system, particularly the “DocLogix Core.” This system offers over ten document management modules tailored to internal business needs, with popular modules including office management, contract and invoice management, project management, and HR document management. Automation features within this system streamline various internal processes, such as tracking document recipients and signatories, reminding of contract deadlines or expenditure limits, centralizing project-related documents for colleagues’ access, and managing employee-related documents such as leave requests and travel information. Additionally, the “DocLogix Core” system allows for immediate signing of input documents thanks to its integrated e-signature functionality. Such management solutions not only reduce the average time spent on document processing (signing, sending, reviewing, reminders, etc.) but also provide a transparent way to track document flow.

While the “DocLogix Core” document management system models are excellent aids for medium and large enterprises, a new product, “DocLogix Portal,” is now available in the market and is suitable for smaller work teams. The “DocLogix Portal” interface is a convenient, customizable application accessible on every computer or phone, enabling seamless document management outside the company’s team. Through this tool, documents can also be signed by third parties.

Each client has unique requirements for organizing and monitoring document flows. For this reason, “DocLogix” also offers customized solutions, such as integrating functions into the system to track task progress or automatically delegate tasks to colleagues when you’re away from the office. Popular finance and ERP systems, including various public sector solutions, can also be easily integrated.

 

One of the integrations includes the eSeal function developed by LVRTC. As indicated during the event by Vita Apse, head of LVRTC’s eServices department, this solution is legally binding for companies and ensures data integrity. Unlike e-signatures, it is not tied to a specific individual but to the company, allowing any authorized employee access to the eSeal. This eliminates the need to wait for a specific individual to sign a document.

Gatis Karlsons, representing the Latvian National Archives, emphasized that data archiving is a mandatory requirement in modern times. Data storage and transfer to the Latvian National Archives are mandatory for state institutions and public companies, easily facilitated by the “DocLogix” system. It allows for the creation of a list of archived documents according to standards and submission to the Latvian National Archives, ensuring compliance with regulations regarding document storage periods, formats, and quality. Improper archiving may result in financial penalties, sanctions, or even litigation

Madara Mančinska, sales and customer service manager at SIA “Tilde,” posed the question to event attendees: Is their company ready for the era of AI language technologies? “Tilde” currently provides machine translation services, speech recognition tools, generative AI virtual assistants, and products like “Tilde Enterprise Assistant,” an internal AI assistant knowledgeable about the company. These AI tools are significant assets in customer service, providing 24/7 consultation services and serving as excellent assistants in internal operations. How often have you had to search the system for a contract or submission template that needs to be reused? This tool is trained to find the necessary documents and even prepare new ones using old templates.

Business digitization is a step towards more convenient organization of work life and, undoubtedly, sustainability. However, the most significant benefit for entrepreneurs using digital tools and automating daily work processes is transparent workflow and saved time for more creative tasks, thus fostering growth!
